Wedding shuttle bus and guest transport: how to book and what to tell guests

Updated 26 October 2026 · Written by

You need a wedding shuttle bus when the ceremony and the party are in different places, when the venue is far from the station and hotels, or when guests would otherwise struggle to get home after midnight. Book as soon as the date and venue are settled, count seats from your RSVPs, and ask the bus company for a quote that covers times, waiting time and the number of runs. Here is when a bus makes sense, how to book it, a table of the usual runs and how to tell your guests.

Try it yourself, no account needed

Wedding shuttle bus: when do you need one?

If everything is within walking distance, or nearly everyone drives, a line about parking and a list of taxi numbers is enough. The rest of the day is in the guide to a wedding day timeline.

  • From the ceremony to the party

If the church or ceremony spot is a drive from the venue, guests arrive in different cars and in different order. One bus keeps everyone together and on time.

  • Home after midnight

Nobody who has been drinking should drive, and in the countryside a taxi can be hard to find late at night. One or two buses home solve it for many guests at once.

  • From the station or the hotel

If many guests come by train or stay at the same hotel, one bus there and back is easier than twenty taxi rides.

  • A venue off the beaten track

A castle, a farm or an island rarely has public transport that fits a wedding. A bus is often the only way to get there without a car.

How to book a bus for your wedding

The price depends on how far the bus drives, how many hours it is booked for including waiting time, the size of the bus, the number of runs and whether it is evening, night or a weekend. That is why no honest price can be given in advance. Send your plan to two or three bus companies and compare the quotes.

  • Book early

Many weddings fall on the same Saturdays, and bus companies are busy then. Get in touch as soon as the date, ceremony spot and venue are fixed.

  • Count seats from your RSVPs

Ask guests to say whether they want a seat when they answer the RSVP. Then count the seats for each run separately.

  • Decide the runs first

Write down where the bus goes from and to, and when, before you call. Then the quote is right from the start.

  • Ask for a written quote

Ask for the price of each run and of the whole day, and what is included.

  • Ask about waiting time and changes

Ask whether the bus can wait or drives off and returns, what happens if the number of guests changes, and who you can reach on the day.

Email to the bus company

Run 2: [venue] to [town], first departure at [time] and last at [time]. Could you send a quote with the price for each run, waiting time and any extra charge for evenings and nights? We would also like to know how many seats the bus has and what applies if the number of guests changes. Kind regards [name]

How to tell guests about the bus

Put the essentials on the invitation and all the times on the wedding website. Guests should see where the bus stands, when it leaves and that they need to sign up. More on what the invitation should say is in the guide to wedding invitation wording.

A line on the invitation

A bus runs from [ceremony spot] to [venue] after the ceremony and back at [time]. Please book your seat in the RSVP by [date].

On the wedding website

The bus from [ceremony spot] leaves at [time] and waits at [street or place]. The last bus towards [town] leaves [venue] at [time] and stops at [stops].

The toastmaster's announcement

The last bus towards [town] leaves in fifteen minutes from [place]. Please fetch your coats now and we will walk you out.

Getting home late: bus, taxi and carpooling

You can combine them: a bus or two for the many, a taxi list for the few and carpooling to the party. Then you avoid booking a run that leaves nearly empty.

The bus on the wedding website and in the RSVP

Add each run with a time, where it leaves from and where it goes, and a line about where it waits. You need to know the seats in advance, so ask in the same form as the RSVP. If a time changes, you change it in one place.

On the example pages you can see how the buses look to guests, with times and a line about where they wait.

Transport on Klara & Hampus's wedding website: the bus from Hedvig Eleonora church to Villa Pauli at 16.15 and back to Östermalmstorg at 00.00 and 01.30.

Buses, bus seats and carpooling on your wedding website

With Lysela you add the buses as departures on your wedding website, with a time, where from, where to and a line about where the bus waits. In the RSVP each guest who is coming ticks the departures they want a seat on, and you download the answers as a file with a column for transport, so you can count seats for each run. On the wedding day the page shows at the top when the next bus leaves. Under carpooling guests offer seats in their car or ask for a lift, to the party, home or both, and you can hide any row you would rather not show. All of this is in every tier.

You pay once, SEK 795, SEK 1,795 or SEK 4,900 including VAT, and the site stays up for 12 months.

What usually goes on a wedding website, and what one costs, is in the checklist.

Frequently asked questions

How far ahead should you book a wedding bus?

As soon as the date and venue are settled. Many weddings fall on the same Saturdays, and an early enquiry gives you more choice.

How many seats do we need?

Count from your RSVPs. Ask guests to tick the runs they want, add them up for each run and ask the bus company which size fits.

How much does it cost to hire a bus for a wedding?

It varies. The price depends on the distance, the hours including waiting time, the size of the bus, the number of runs and whether it is evening, night or a weekend. Send your plan to a few bus companies and ask for a quote.

Who pays for the bus?

That is up to you. Say clearly on the invitation or the wedding website whether the bus is included for guests.
